Hardware Retail POS & Inventory Management System / Rathna Hardware

Background & Goals

Hardware retail businesses operate with unique inventory challenges, such as selling items by fractional measurements (weight, length, or unit pieces) alongside regular standard products. This project was developed to provide Sri Lankan hardware retailers with a modern, fast, and reliable point-of-sale and ERP solution capable of operating efficiently with SQLite in local single-store setups and MySQL in production cloud environments.

Key Features & User Flows

• POS Billing & Checkout: Real-time billing cashier interface supporting barcode scanner inputs, held carts/draft invoices, returns processing, and customized thermal receipt printing.
• Divisible & Flexible Inventory Management: Comprehensive product tracking supporting SKU, brand categorization, and divisible stock units (weight, length, piece counts).
• Supply Chain & Stock Control: Integrated Purchase Orders, Goods Received Notes (GRN), and direct stock adjustment workflows.
• Financial & Credit Management: Built-in cash drawer session management, daily expense logging, bank deposit tracking, and customer credit ledger management.
• Equipment Rental Tracking: Dedicated workflow to manage hardware tool and equipment rentals with return schedules.
• Human Resource Management: Employee records, daily attendance tracking, salary processing, and leave management.
• Role-Based Access Control (RBAC): Granular permission guardrails for Admins, Managers, and Cashiers.
• Business Analytics & Reporting: Real-time dashboards summarizing total sales, gross profits/losses, inventory valuation, and cashier shift reports.

Architecture & Design Decisions

• Backend Framework: Laravel 12 on PHP 8.2+/8.3 for robust MVC routing, ORM data relationships, and clean backend APIs.
• Frontend & Styling: Blade templating combined with Vite and Tailwind CSS v4 for a responsive, clean, and high-performance UI.
• Database Flexibility: Dual-database structure powered by SQLite for light local deployment and MySQL 8+ for production scalability.
• Document & Barcode Generation: Integrated dompdf for printable PDF reports/invoices and picqer/php-barcode-generator for inline barcode generation.

Challenges Solved

• Fractional Quantity Precision: Solved inventory accuracy issues for items sold in non-integer quantities (e.g., meters of wire or kilograms of nails) through specialized inventory unit handlers.
• Timezone & Regional Compliance: Handled accurate localized transaction logging tailored to the Sri Lanka timezone (Asia/Colombo) across dashboard analytics and invoice generation.
• Fast Multi-Role Operations: Designed an intuitive interface with strict permission barriers ensuring cashiers remain focused on fast checkout while administrative features are securely restricted.
